Simplifying Payroll Payments with BACS
Paying employees accurately and on time is one of the most important responsibilities for any employer. As businesses grow, manually processing payroll payments can become time-consuming, increase the risk of errors, and place unnecessary pressure on finance teams.
That’s where BACS payroll payments can help.
BACS is a secure and highly efficient way to automate payroll payments, PAYE liabilities, pension contributions, and other third-party payments. It enables businesses to streamline payment processes while maintaining security, accuracy, and confidentiality.
At PayCheck, we are an approved BACS Payroll Bureau, allowing us to process payroll payments on behalf of our clients, helping businesses save time and reduce administration.
What Are BACS?
BACS (Bankers’ Automated Clearing Services) is one of the UK’s most widely used payment systems for transferring money between bank accounts.
Businesses commonly use BACS for:
- Employee salary payments
- PAYE payments to HMRC
- Pension contributions
- Supplier payments
- Regular recurring payments
Because the process is automated, BACS offers a reliable and secure method of making scheduled payments.
Â
How Does BACS Payroll Work?
Before a business can use BACS payroll services, it must obtain a Service User Number (SUN) from its bank.
Step 1: Apply for a Service User Number (SUN)
A SUN is issued by a bank following a review of the business and its credit facilities.
As part of the application process, banks will typically:
- Assess the business’s financial standing
- Conduct credit checks
- Review payment requirements
- Establish suitable payment limits
Once approved, the business receives a Service User Number (SUN).
Step 2: Link the SUN to PayCheck’s BACS Bureau
The SUN is then linked to PayCheck’s BACS Bureau facility, authorising us to create and submit BACS payment files on the business’s behalf.
Step 3: Payroll Processing
When payroll has been approved:
- PayCheck processes the payroll
- A BACS payment file is created
- The file is submitted securely through the BACS network
- Funds are collected from the business bank account
- Employees receive payment directly into their bank accounts on payday
We can also facilitate payments such as:
- PAYE and National Insurance liabilities to HMRC
- Pension contribution payments
- Other authorised payroll-related payments
For example, PAYE liabilities due by the 19th of the following month can also be managed through the process.
Understanding the BACS Payment Cycle
One important aspect of BACS is the payment timetable.
BACS operates on a standard three-working-day cycle.
Example
If employees need to be paid on a Friday:
- Wednesday – Payment file submitted
- Thursday – Processing takes place
- Friday – Employees receive payment
This means businesses need to plan payroll processing deadlines to ensure employees are paid on time.
An experienced payroll provider can help manage these schedules and ensure payment files are submitted within the required timeframe.

Key Benefits of BACS Payroll Payments
- Increased Automation and Reduced Administration
One of the biggest advantages of BACS payroll is automation.
Instead of manually entering employee bank details and individual payment amounts every pay period, the process is handled through secure payment files.
Benefits include:
- Reduced manual input
- Fewer opportunities for errors
- Less administration for finance teams
- Improved payroll efficiency
This can save significant time, particularly for businesses with larger workforces.
- Greater Flexibility for Holidays and Absences
Planning payroll around annual leave can often be challenging.
With BACS, payment files can be submitted in advance while maintaining the designated payment date.
This allows:
- Finance teams to plan ahead
- Business owners to take holidays without payroll concerns
- Employees to be paid on time even when key staff are absent
It’s an ideal solution for businesses that want confidence that payroll will continue to run smoothly regardless of staff availability.
- Enhanced Confidentiality
Salary information is highly sensitive.
A major benefit of BACS payroll is the additional level of confidentiality it provides.
When using BACS:
- Bank statements typically show the total payroll amount
- Individual employee salary payments are not displayed separately
- Fewer employees have access to detailed salary information
This helps protect employee confidentiality and supports good internal payroll controls.
- Improved Accuracy
Manual payroll payments create opportunities for:
- Data entry errors
- Incorrect payment amounts
- Duplicate payments
- Missing payments
Automated BACS submissions significantly reduce these risks and help ensure employees are paid accurately and on time.
- Better Control and Audit Trail
BACS creates a clear electronic audit trail of payroll payments.
This enables businesses to:
- Track payment submissions
- Verify payment dates
- Review payment confirmations
- Support payroll audits
Having a documented payroll payment process strengthens governance and compliance procedures.
Â
Security and BACS Reporting
As part of the BACS setup process, businesses are required to nominate two Primary Security Contacts.
These individuals play an important role in maintaining payment security.
Their responsibilities include:
- Receiving BACS reports and statements
- Monitoring payroll payment activity
- Reviewing payment confirmations
- Identifying and addressing payment issues
This additional layer of oversight helps ensure payment files are processed correctly and securely.
